Vendor Coordinator

HSP Direct is an elite conservative, political and non-profit fundraising agency based in Ashburn, VA. We are passionate about partnering with clients who have a vision for a better America, and we are seeking a highly motivated, organized, and relationship-oriented individual to provide exceptional service and value to our clients as a Vendor Coordinator. The Vendor Coordinator will manage HSP’s network of direct-mail caging partners to drive maximum value for clients’ fundraising programs. A successful Vendor Coordinator will master the following responsibility areas:
  • Acts as primary point-of-contact for all caging partners, strengthening relationships with existing partners and continuously growing HSP’s network of partners
  • Serves as HSP’s in-house expert on all caging operations and maintains a deep understanding of the unique capabilities, pricing, and opportunities with each cager
  • Works closely with HSP’s Account Management, Creative, and Production departments to maintain a constant pulse on client needs and goals and to ensure client packages are designed to be caged efficiently 
  • Collaborates with caging partners to implement solutions to specific challenges and ongoing pain-points that contribute to slowdowns in the caging process
  • Proactively supplies monthly estimates of mail volume returns for each cager and communicates HSP’s client-caging priorities on a weekly basis
  • Leads the caging-onboarding process for new HSP clients, including the execution of caging & escrow contracts, opening of the PO Box, and set-up of the escrow account
  • Regularly compares pricing, capabilities, and customer service across caging partners and advises HSP leadership on how we can minimize costs and maximize value for clients from a caging standpoint

Required Skills, Experience, and Competencies:
  • Ability to develop strong, trusted relationships with key contacts
  • Ability to manage multiple vendors and projects at a time while paying strict attention to detail
  • Possesses a curious mindset and ability to think outside the box to improve and develop processes, navigate challenges, identify solutions, and create opportunities
  • Demonstrated ability to make swift decisions and complete projects quickly
  • Ability to deliver client-focused solutions based on customer needs
  • Excellent listening, communication, negotiation, and problem-solving skills
  • BA/BS degree or equivalent
  • Experience working for non-profits or political campaigns is a plus
