Executive Administrative Assistant / Supervisor of Housekeeping Services

Introduction:
Philmont Scout Ranch is seeking an enthusiastic and dedicated individual to serve as the Executive Assistant to the General Manager and the Supervisor for Housekeeping Services. The ideal candidate will have an experience as an executive assistant, with excellent customer service and people skills, supervisory experience in holding others accountable, enjoy record keeping and use a variety of computer skills.
Job Overview:
This position provides a wide variety of administrative skills for the Philmont Scout Ranch Administration, while also supervising our Housekeeping Services team, The position will work directly with the General Manager and his team to help prepare budgets, take meeting minutes, create agendas and reports, and work with numerous HR and workman’s compensation filings. This position serves as a liaison to others within and outside the organization regarding administrative issues related to purchasing, personnel, facilities and operations. Responsible for managing housekeeping services and personnel at the facility. Oversees housekeepers and maintenance to ensure offices, rooms and other specified areas are kept clean and in orderly condition. Prepares and adheres to the schedule for the off-season and the summer season. Maintains office supply inventory.
Responsibilities:
  • Services as the Executive Assistant, to the General Manager of the Philmont Scout Reservation
  • Supervises, trains, schedules, coaches, hires and manages performance including the quarterly evaluations and the disciplinary process of the housekeeping supervisor, and housekeeping staff. Works with housekeeping supervisor to secure adequate seasonal staff support for summer operations
  • Supervises PSR receptionist and managers all subsequent duties
  • Communicates and builds relationships with the Philmont Ranch Committee and other stakeholders
  • Manages inventory of supplies, sourcing, purchasing, reconciling and re-ordering to ensure adequate stock is maintained
  • Provides office services to include departmental budgets, calendars, forms, work schedules and reports. Produces correspondence, presentations, and other materials. Distributes mail and reports.
  • Regularly interacts with internal and external customers and executes to answer questions and supply information. Uses discretion when handling confidential information.
  • Manages workmen’s compensation and accident insurance claims, investigations, documentation and ensures timely regulatory reporting and compliance. Partners with PSR Health Lodge and BSA Risk Management
  • Provides research on special projects and assignments. Communicates and resolves operational and administrative problems and issues. Serves as a back up to other administrative support positions at the Philmont Administration Headquarters.
  • Processes and maintains full-time personnel files. Orients new hires and provides assistance with HR forms and paperwork needed for new and terminated employees. Ensures HR technology is utilized and site in in compliance with internal HR policies and regulatory conditions.
  • Performs all other related duties as assigned
Qualifications/ Experience:
  • High School diploma or GED required, Bachelor’s degree preferred.
  • Ability to collaborate, inspire and hold accountable multiple stakeholders including seasonal staff and other Philmont Departmental employees.
  • 5+ years office experience preferred
  • Preference given to applicants with a strong understanding of the Philmont and BSA brand
  • Must be able to communicate with all levels of the organization both internally and externally.

Compensation:
Salary is $45,000 and could range slightly more based on commensurate experience. This is an exempt salaried position meaning that it is exempt from overtime pay. This position will require additional working hours during specific seasons of the year, especially during the summer. The National Council, Boy Scouts of America is an equal opportunity employer.
