Finance and Operations Associate

Public Art Fund, New York’s leading presenter of contemporary art in public spaces, seeks a full-time Finance & Operations Associate. This position will provide essential administrative support to the Senior Manager, Finance and Human Resources, and collaborate with staff across all departments.

Responsibilities

·        Data entry in QuickBooks for accounts receivable and payable, expense reports, credit card and income processing, etc.
·        Make check deposits, process credit card payments and produce invoices
·        Assist with budget tracking and updates, and generate quarterly departmental reports in QuickBooks and Excel
·        Enter, track and pay monthly administrative bills
·        Provide bookkeeping support for preparation of annual audit
·        Oversee staff time-tracking and employee timesheets
  • Negotiate and maintain contracts for office equipment
  • Liaise with external IT vendor and manage select technology projects
  • Coordinate internships; assist with job postings
  • Update and maintain employee and department handbooks
  • Attend and record minutes for select Board meetings
  • Maintain cleanliness of office; manage outside cleaning service; serve as building point-of-contact; order office supplies and track supply inventory
  • Oversee off-site storage with Project Managers, manage inventory, and schedule visits to/from site
  • Monitor and respond to general email inquiries
  • Additional duties and projects as needed

Desired Skills and Qualifications
·        Associate’s or Bachelor’s degree in related field of study or equivalent professional experience
·        Minimum one (1) year professional experience in bookkeeping or other relevant experience; preferably at a not-for-profit organization
·        Reliable, with the ability to work independently and meet both short- and long-term deadlines while managing multiple projects simultaneously
·        Exceptional attention to detail and organizational skills
·        Excellent communication skills; proactive attitude; ability to problem solve
·        Ability to work collaboratively and as part of a team
·        Fluency in Microsoft Office Suite, particularly Excel, and G-Suite; experience with QuickBooks Desktop a plus
·        Knowledge of accrual accounting, GAAP, and restricted funds management a plus
·        Interest in contemporary art preferred
