Accounting and Office Coordinator

Position Overview


The Accounting and Office Coordinator will assist the Controller and Incubator Manager with accounting, bookkeeping, and general administrative duties with a high level of accuracy and efficiency.  This position will report to the Controller.

Major Responsibilities & Outcomes 


Propeller Co-Working Facility
  • Assists Incubator Manager with booking events and preparing tenant contracts and invoices.
  • Assists Incubator Manager with responding to client requests within 24 hours.
  • Ensures that invoices are paid and accurately monitors payment and history of clients, including monthly rent roll.
  • Assists monthly with reconciling credit card statements and bank statements.
  • Assists monthly with monthly close process and monthly budget v. actuals.
  • Assists with various administrative tasks including contacting check signers, organizing files, mailing documents
  • Assists Incubator Manager with monthly, quarterly and year end accounting duties and special projects.
  • Updates and maintains records concerning all expenses.
  • Assist with updating records within data management software.
  • General administrative duties as needed.

Propeller Accounting 
  • Assists Controller with monthly, quarterly, and year end accounting duties and special projects.
  • Updates and maintains accounting records which may include invoices, payments, and contracts. 
  • Processes vendor invoices and payments through bill.com 
  • Assists with the management of bill.com 
  • Monitors payment activity, prepares and submits invoices, and deposits receipts.
  • Processes and tracks donations and deposits, including generating donation receipt letters.
  • Procurement- processes purchases and does price comparison 
  • Assists monthly with reconciling credit card statements and bank statements.
  • Assists monthly with the monthly close process, including the net asset roll forward, grant allocations, and restricted grant budget v. actuals.
  • Occasionally assists with updating records within data management software.
  • Prepares the semi-monthly payroll 
  • Assists Controller with the management of Propeller’s Project Management System 
  • General administrative duties as needed.

Propeller Office Management
  • Keeps the office clean, organized, and tidy
  • Answers the phone and takes messages  
  • Manages office supplies, materials, equipment, phone system, and other technology  
  • Maintains an organized filing system  
  • Other Administrative duties as needed

Requirements

  • 1-2 years related experience, with demonstrated expertise in accounting or bookkeeping (job and/or internship experience)
  • Reliable Vehicle

Preferred Experience

  • Experience using or knowledge of QuickBooks
  • Bachelor’s Degree 
  • Experience working alongside prominent New Orleans communities of color (Black, Indigenous, Latinx, Vietnamese-American, and others)

Compensation: $41,440-$47,440, depending on experience. Propeller also offers a competitive benefits package that includes health, dental, and vision insurance; long- and short-term disability insurance; retirement, paid time off, and professional development.)

Location: New Orleans, LA. Applicant must be located or willing to relocate to New Orleans. Remote work is possible for Q1 and Q2 2021.
