Position Summary:
The primary responsibility of the Gift Processing Specialist is to record and process gift and pledge contributions made to the University at Buffalo Foundation (UBF). The Gift Processing Specialist will ensure all gifts are promptly and accurately entered. The position will create and reconcile a variety of pledge and gift batches and associated documents to produce accurate records and timely receipts.

The Gift Processing Specialist will have a familiarity with IRS and CASE regulations and procedures as they relate to entering and acknowledging charitable donations in a non-profit environment.

The Gift Processing Specialist will report to the Revenue Manager. The position will also receive occasional guidance from the Gift and Pledge Processing Coordinator.

Responsibilities for this position include, but are not limited to:
• Process, record, and reconcile gift and pledges in a timely and accurate manner
• Maintain and update donor biographical information in fundraising (Advance) database as necessary
• Deposit daily revenues to banks using remote deposit capture (RDC) technology
• Assist the Revenue Manager in periodic reviews of data entry procedures in order to minimize data reporting errors
• Assist the Revenue Manager in maintaining complete, cohesive and accurate written policies and procedure of the Revenue Processing Department
• Scan selected gift information into fundraising (Advance) and accounting (AccuFund) databases
• Assist with logging of daily deposits that are received from account holders and donors
• Other administrative duties as assigned

In addition to the primary responsibilities, the Gift Processing Specialist will assume primary or back-up responsibility for specific functions of the Revenue, Gift and Processing team. These responsibilities may include, but are not limited, to:
• Production, review and distribution of daily receipts for all gifts processed by UBF
• Generation and distribution of pledges reminders on a weekly and monthly basis relating to contributions receivable
• Uploading and processing daily gifts received from University Advancement calling program
• Preparing and uploading a variety of daily data gift and other revenue feeds to accounting database
• Processing and recording of matching gift claims
• Processing, uploading and entering program service revenues directly to accounting database

Associate’s degree or equivalent work experience required
Bachelor’s degree in related field preferred. Proficient in use of Microsoft Office, including Word, Excel and mail merging.
Experience with a fundraising database and/or web applications preferred.
