Records Management Specialist

General Duty Statement
Performs advanced lead clerical work of a complex nature including planning, organizing, and producing work which requires independent judgment and specialized knowledge. Maintains a Records Management System including the release of reports and other information in accordance with the Minnesota Data Privacy Laws related to unit's work. Audits, analyzes, and verifies all information and ensures timely and accurate processing of reports. Performs related duties as required.

INFORMATION ABOUT THE CURRENT OPENING:
This position works in a Police Department unit that operates 24 hours a day, 7 days a week and requires coverage at all times. The open position will work Sunday through Thursday, 6 a.m. to 2:30 p.m. Although an incumbent will be assigned to a particular shift, it may be, at times, necessary to work a different shift than what is assigned normally. Position is located at the Saint Paul Police Department, 367 Grove Street, Saint Paul, MN 55101.

Primary Responsibilities: 
  • Review all police reports for accuracy and assign them to various units
  • Work with outside agencies such as Bureau of Criminal Apprehension (BCA) and Ramsey County
  • Respond to inquiries and complaints
  • Maintain, verify, and classify information and produce related reports
  • Communicate policy and procedure information
  • Ensure that private data is redacted from reports issued to media and outside groups
  • Assigns, prioritizes, and reviews the work of assigned office assistant staff.

Requirements
Four (4) years of general clerical experience, two (2) years of which must be at the Accounting Clerk II level, Office Assistant III level, or equivalent. An Associate Degree in Business Administration or a related field is preferred and may be substituted for up to two years of the required clerical experience.

Assessment: Qualifications Rating: 
The Qualifications Rating is an assessment of your completed application, answers to the Supplemental Questionnaire, and your resume. Be as specific and detailed as possible in completing your application and any attachments. You must submit your completed application, supplemental questionnaire, and any attachments by the application deadline.

GENERAL INFORMATION:

Eligible Lists created from Open Job Posting: This job posting is open to anyone who meets the position requirements. Non-promotion eligible lists typically are pass/fail and promotion eligible lists are typically ranked. Those who pass the assessment will be placed on an eligible list for approximately one year. If the open eligible list created contains a veteran, one open list will exist. When there are no veterans remaining on the eligible list (i.e. hired, withdrawn) from an open list that also contains promotional candidates, two lists will be created: one open list and one promotion list. If two lists exist, the promotion list must be exhausted before the open list is considered.

Final Selection Process: You must receive a score of 75% or higher to pass the assessment and be considered for the position. Those who pass will be placed on an eligible list and all will be notified of their status. A Hiring Manager will consider those applicants eligible for hire. You will be notified if you are invited to participate in the final selection process which may include an interview, job simulation, work sample submission, or other evaluation method.   

Condition of Employment: This position will require proof of vaccination and an attestation of vaccination for COVID-19. This position will also require a drug test, and a background check which may include criminal history, and employment history as a condition of employment. Candidates will be required to submit proof of education to Human Resources upon conditional job offer.
